Q1. How do I open the Employee module?

Steps:

  1. Navigate to Employees tab from the main menu.
  2. Click on “Employee” tab.

This will open the Employee List Page.

From here you can:

  • ➕ Add new employee
  • ✏️ Edit existing records
  • 🗑️ Delete or deactivate employees

Q2. How do I add a new employee quickly?

Steps:

  1. Navigate to Employees tab from the main menu.
  2. Click on “Employee” tab.
    • This will open the Employee List Page.
  3. On the Employee list page, click the “+” button at the top-right.
    • A new Add Employee form will open.
  4. Choose Type – Self or Supplier
    • Self → if the employee belongs to your own organization.
    • Supplier → if the employee belongs to a vendor/supplier.
  5. Enter Basic Details
    • Name (mandatory)
    • Phone Number (mandatory, with country code dropdown)
    • Email (optional)
  6. Select Employee Role(s)
    • You can assign multiple roles to one Employee.
    • Tick the checkbox for the roles you want to assign:
      • Driver
      • Guard
      • Guide
      • Sales Person
  7. Add Address Information (optional)
    • Present Address → Enter City + Address Line.
    • Permanent Address → Enter City + Address Line.
  8. Add Extra Details (optional)
    • Languages Spoken → Select from dropdown.
    • Experience → Enter years of experience.
  9. Add Permit Details (if applicable)
    • Scroll to the Permit section.
    • Fill in:
      • Permit Name
      • Permit Info
      • Cost
      • Issuing Authority (mandatory field)
  10. Save Employee
    • After filling all required fields, click Save (bottom-right).
    • The employee will be added to the system and appear in the Employee list.

Note: Minimum required fields to successfully save:

  • Name
  • Phone Number

Everything else is optional but recommended for complete records.


Q3. What is the minimum information required?

  • Name
  • Phone Number

Both are mandatory fields.


Q4. How can I add multiple roles for one employee?

Yes, you can assign more than one role (for example, Driver + Guard + Guide + Sales Person) to a single employee.

Steps:

  1. Go to Employees
  2. From the Main Menu, navigate to Employees.
  3. Click on the Employee tab to open the Employee List page.
  4. Select an Employee
    • Find the employee you want to update in the list.
    • Click the ✏️ Edit icon in front of their name.
    • This will open the Edit Employee page.
  5. Assign Roles
    • In the Roles section, tick all the checkboxes for the roles you want to assign.
    • You can select multiple options such as Driver, Guard, Guide, Sales Person, etc.
  6. Save Changes
    • After selecting the roles, click Save.
    • The employee will now have multiple roles assigned.

Q5. What does the green dot in Status mean?

A green dot indicates the employee is Active.


Q6. How do I export employees of active Status?

Steps:

  1. Navigate to Employees tab from the main menu.
  2. In the search/filter box (top left), select Status from dropdown.
  3. Select Active from dropdown.
  4. Select search option — the list will refresh showing only active employees.
  5. Click the 3-dot menu (⋮).
  6. Select Download from dropdown.
  7. Select the appropriate template and click Download to get the data in Excel format.

Q7. How do I delete employee data if wrongly uploaded in bulk?

Steps:

  1. Navigate to Employees tab from the main menu.
  2. Select the wrongly uploaded employees using the checkboxes.
  3. From the 3-dot menu (⋮), choose Bulk Delete.
  4. Confirm deletion.
  5. Re-upload the corrected list using Bulk Upload.

Q8. How do I check all blocked employees across suppliers?

Steps:

  1. Navigate to Employees tab from the main menu.
  2. Use the search bar and select Status.
  3. Select Blocked from dropdown.
  4. The table/list will only display blocked employees.

Q9. How do I track employee Permit (driver permits, etc.)?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Go to Employees → Click ✏️ Edit on the employee.
  3. Select Permits tab or click + to add a new permit.
  4. In the Permit section, enter details:
    • Permit Name
    • Permit Info
    • Cost (💰 to track cost)
    • Issuing Authority (mandatory)
    • Start Date
    • Expiry Date
  5. Click Save.

👉 Once saved, permit costs are automatically linked to that employee.
👉 You can later export all employee data (including cost) using the Download option.


Q10. How do I change an employee’s status (Active, Inactive, Blocked)?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Locate the employee → Click ✏️ Edit.
  3. On top of the employee form, click the Status dropdown.
    • ✅ Active – Employee is available.
    • 🔴 Inactive – Employee is temporarily disabled.
    • 🔵 Blocked – Employee is permanently restricted.
  4. Select the status → Click Save.

Q11. How do I add Tags for employees?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Open Employees list.
  3. Click ✏️ Edit on an employee.
  4. On the form, click the Tag icon beside the status field.
  5. Add or select tags (e.g., "Part-time", "Roadway Logistics").
  6. Click Save.

👉 Tags will now appear in the Tags column of the Employee list.


Q12. How do I view an employee’s trip statistics?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Go to Employees → Click ✏️ Edit.
  3. On the top, click the Overview tab.
  4. You will see:
    • Total Revenue
    • % Growth since last month
    • Trip Statistics → (Total Trips, Distance Travelled, Duration Travelled)
    • Recent Trips list

👉 This helps monitor driver/employee activity directly.


Q13. How do I view or update employee personal details?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Go to Employees → Click ✏️ Edit.
  3. On the top, click the Overview tab.
  4. Open the Employee profile → Click Details tab.
  5. You can update:
    • Name & Title (Mr/Ms)
    • Phone (mandatory)
    • Email (optional)
    • Roles (Driver, Guard, Guide, Sales Person)
    • Present & Permanent Address
    • Upload/replace profile photo (optional)
  6. Click Save to confirm changes.

Q14. How do I add employee permits (e.g., Driving License)?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Go to Employees → Click ✏️ Edit.
  3. Select Permits tab → Click + icon to add permit.
  4. Enter details:
    • Permit Name (e.g., Driving License)
    • Permit Info (license number, description)
    • Cost (if applicable)
    • Issuing Authority (mandatory)
    • Start Date & Expiry Date
  5. Click Save.

👉 Multiple permits can be added for the same employee.


Q15. How do I upload employee compliance documents?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Go to Employees → Click ✏️ Edit.
  3. Open Documents tab.
  4. Click ➕ Add Document.
  5. Select Document Type (e.g., Aadhaar, Driving License, PAN).
  6. Upload file → Drag & Drop or Choose File (max 100 MB).
  7. Click Save.

👉 Compliance status will automatically update in the Employee list.


Q16. How do I check the audit log for employee changes?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Navigate to the employee → Click ✏️ Edit.
  3. At the bottom, click Audit Log.
  4. You will see:
    • Created by / Edited by / Deleted by
    • Date & Time
    • Changes made

👉 Ensures transparency and compliance.


Q17. How do I bulk upload employees?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Open Employee list.
  3. Click 3-dot menu (⋮) → Select Bulk Upload.
  4. Download the Excel/CSV template (if needed).
  5. Fill in employee data: Name, Phone, Email, Role, Supplier, Compliance.
  6. Upload the file → System validates & adds employees in bulk.

Q18. How do I download/export employee data?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Open Employees list.
  3. Click 3-dot menu (⋮).
  4. Select Download.
  5. Choose Template from dropdown or add a previous one via search.
  6. Select the template → Excel file will download.

👉 File will contain all employees currently visible in the list.


Q19. What actions are available under the 3-dot menu (⋮)?

  • Bulk Delete – Remove multiple employees.
  • Bulk Edit – Update compliance status/tags for multiple employees.
  • Bulk Upload – Import employees in bulk.
  • Download – Export list to Excel/CSV.
  • Customise – Manage column visibility in the table.

Q20. How do I customize the Employee list view?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. On the Employee list page, click ⚙️ Gear icon.
  3. A popup will show Visible vs Hidden Fields.
  4. Move fields like Email, Tags, Compliance Status between them.
  5. Save changes → Table refreshes with selected columns.

Q21. How do I filter employees by different fields?

Steps:

  1. In the search box, click the dropdown filter icon.
  2. Choose filter type:
    • Employee Name
    • Email Address
    • Phone Number
    • Status (Active/Inactive/Blocked)
    • Compliance Status (Compliant/Not Compliant)
    • Drivers / Guards / Guides
  3. Enter value → Table/list refreshes with matching results.

Q22. What is “Call Driver” on the edit form? Can I call a driver directly from the system?

Steps:

  1. Open Employee → Click ✏️ Edit.
  2. At the bottom of the form, click 📞 Call Driver.
  3. The system will trigger the integrated calling option.

👉 Useful for quick communication with drivers.


Q23. Can I duplicate an employee record?

No. Currently, the system does not allow direct duplication of employee records.
Each employee must be created manually or via bulk upload.


Q24. How do I mark an employee as linked to a specific client or company?

Steps:

  1. Open Employee → Click ✏️ Edit.
  2. Select details.
  3. Tick the Supplier Vehicle checkbox.
  4. Add the supplier from dropdown or create new using the search icon.
  5. Click Save.

👉 This links the employee to a particular client/supplier (e.g., outsourced drivers).


Q25. How do I handle employees who work for multiple roles at once?

Steps:

  1. While adding/editing, tick multiple checkboxes (Driver + Guide, etc.).

The employee will show up in searches for all selected roles.
👉 Example: A person can be both a Driver 🚗 and a Sales Person 💼.


Q26. Can I deactivate an employee without deleting them?

✅ Yes.

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Open Employee → Click ✏️ Edit.
  3. Change Status to “Inactive”.
  4. Click Save.

👉 This keeps the record but prevents assignments.


Q27. What happens if I delete an employee?

  • The employee will no longer appear in the list.
  • Related trips or data may remain but won’t have an active employee link.
  • Deleted employees cannot be restored (unless re-added manually).

Q28. How do I verify which employees are Non-Compliant?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Open Employee list.
  3. Look at the Compliance Status column.
  4. Filter by “Not Compliant”.

Only employees with missing/expired documents will appear.


Q29. How do I bulk download only drivers?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. In filters, select Drivers from dropdown → Click Search.
  3. Click 3-dot menu (⋮) → Download.
  4. Excel/CSV will only include drivers.

Q30. How do I bulk update employee statuses (e.g., set many employees to Blocked)?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Select multiple employees via checkboxes.
  3. Click 3-dot menu (⋮) → Bulk Edit.
  4. Select the template New Employee from dropdown.
  5. Update status to Blocked.
  6. Click Save.

All selected employees will be updated.


Q31. How can I block an employee temporarily?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Open Employee → Click ✏️ Edit.
  3. Change Status → Blocked.
  4. Click Save.

👉 Employee remains in the system but cannot be assigned to tasks.


Q32. Can I restore a blocked employee?

✅ Yes.

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Click ✏️ Edit Employee.
  3. Change Status → Active.
  4. Click Save.

👉 Employee is restored.


Q33. Can I track employee trip performance?

✅ Yes.

In Employee → Overview tab, you can view:

  • Total Trips
  • Distance Travelled
  • Duration Travelled
  • Revenue contribution

Q34. What does the “Audit Log” button do?

The Audit Log shows a history of:

  • All changes made to the employee record
  • Who made the change
  • When the change was made

👉 Useful for compliance & tracking mistakes.


Q35. How do I assign tags like “New Era Transport” or “Roadway Logistics”?

Steps:

  1. Go to Main Menu → Masters → Employees.
  2. Click ✏️ Edit Employee.
  3. In the Tags field (bottom right of edit form), type/select a tag.
  4. Click Save.

👉 The employee will be grouped under that tag in the list/table.
