Q1. How do I open the Zone module?

Steps:

  1. From the main menu → Users.
  2. Click Zone.
  3. The Zone list/table opens (with columns like Name, Country, Clients, Suppliers, Color, Action).

Q2. What is a Zone used for?

A Zone is a way to group geographical areas (like regions, cities, states) for client/supplier management.
It helps in:

  • Assigning clients to specific operational areas.
  • Mapping suppliers to zones.
  • Using color codes for quick identification.

Q3. How do I create a new Zone?

Steps:

  1. Go to Users → Zone.
  2. Click the “+” Add button (top-right).
  3. Fill in the required fields:
    • Name* (zone name, e.g., NCR, South Zone)
    • Country* (auto default India or select)
    • Clients (optional, link clients if any)
    • Suppliers (optional, link suppliers if any)
    • Color (pick a dot color for easy identification)
    • Add Regions → Define included/excluded cities.
  4. Click Save (bottom-right).

Q4. Which fields are mandatory for a Zone?

  • Name
  • Country

Q5. How do I add Regions (States & Cities) to a Zone?

Steps:

  1. While adding/editing a zone, click + Add Regions.
  2. Select:
    • State
    • Included City (e.g., All Cities or specific ones)
    • Excluded City (cities that should not belong to the zone)
  3. Save changes.

Q6. How do I edit an existing Zone?

Steps:

  1. Open Users → Zone.
  2. In the table, find the Zone.
  3. Click the Edit (✏️) icon in Action.
  4. Update fields (Name, Clients, Suppliers, Regions, Color).
  5. Click Save.

Q7. How do I delete a Zone?

Steps:

  1. Go to Users → Zone.
  2. In the table, click the Delete (🗑️) icon in Action.
  3. Confirm deletion.

Q8. What is the use of Color in Zone?

It visually differentiates zones in the list.
Useful when many zones exist (quick recognition).


Q9. Can I assign multiple clients or suppliers to one Zone?

✅ Yes, multiple clients or suppliers can be mapped to a single Zone.


Q10. How do I search for a Zone?

Use the Search bar (top-right).
Type Zone name or Country.
The table refreshes to show matching results.


Q11. Can I filter Zones?

Yes. Use filters (if enabled) to narrow by Country, Clients, or Suppliers.


Q12. What actions can I take from the Action column?

  • Edit (✏️) → Modify Zone details.
  • Delete (🗑️) → Remove Zone.

Q13. What does “Supplier Not Found” mean in the Zone list?

It means no supplier is currently linked to that Zone.


Q14. What happens if I don’t assign Clients/Suppliers?

Zone can still be saved.
But it will not be mapped to any Client or Supplier until updated later.


Q15. What is the Audit Log in Zone?

Steps:

  1. Open/Edit a Zone.
  2. Click Audit Log (bottom bar).
  3. Shows record of who created/edited/deleted and when.

Q16. Can I customize the Zone table view?

Yes. From the Gear (⚙️) icon (bottom right):

  • Show/Hide columns (Name, Country, Clients, Suppliers, Color).
  • Rearrange columns.
  • Save preferences.

Q17. What is the benefit of Included/Excluded Cities in Zone?

  • Included City: Defines where the Zone applies.
  • Excluded City: Removes exceptions from Included.

This gives precise control over zone boundaries.


Q18. Can I bulk upload Zones?

No.


Q19. Can Zones be linked with Bookings or Operations?

✅ Yes. Zones are often used to allocate bookings, dispatches, or supplier assignments region-wise.


Q20. What are the typical use cases of Zone module?

  • Creating service regions (North/South/West/East)
  • Assigning clients to a region for better reporting
  • Linking suppliers/vendors region-wise
  • Applying color codes for faster navigation

Q21. Can I create two Zones with the same name?

Yes. Click on the +.


Q22. Can one City belong to multiple Zones?

Generally, a City should be mapped to one Zone for clarity.
If mistakenly added to multiple, it may cause reporting conflicts.


Q23. What happens if I exclude a City that was included earlier?

That city will no longer belong to the Zone.
Any linked Clients/Suppliers in that City may need reassignment.


Q24. How do I check which Clients are assigned to a Zone?

Open Users → Zone.
In the Zone list, check the Clients column.
If blank or “No Record Found”, no client is linked.


Q25. How do I check which Suppliers are assigned to a Zone?

Go to Users → Zone.
See the Suppliers column.
If it shows Supplier Not Found, no supplier is mapped.


Q26. Can I change the Country of a Zone after saving?

✅ Yes, but it’s not recommended.
Changing the Country may require updating linked Clients/Suppliers.


Q27. How can I use Zone Colors effectively?

Assign different colors to each Zone.
Helps in quick filtering or main menus where Zones are displayed visually.


Q28. Can I filter Zones by Country?

✅ Yes. If multiple countries are configured in your system, you can filter zones by country from the search/filter bar.


Q29. What is shown in the Zone Audit Log?

  • Creation date/time
  • User who created the Zone
  • All changes (Name, Clients, Suppliers, Regions, Colors)
  • Deletion logs if applicable

✅ Yes. Zones are often used in Travel Reports, Bookings, and Allocations to filter by region.


Q31. What is the purpose of Regions inside Zone?

Regions allow you to divide a Zone further by State, Included Cities, and Excluded Cities.

Example:
North Zone → State: Uttar Pradesh → Include: Lucknow, Kanpur → Exclude: Noida.


Q32. Can I rearrange the Zone columns in the Table/list page?

✅ Yes.
Steps:

  1. Click the Gear (⚙️) icon at bottom-right.
  2. Drag & Drop columns (Name, Country, Clients, Suppliers, Color).
  3. Save changes.

Q33. What is the difference between Zone and Region?

  • Zone: Higher-level grouping (like North Zone, East Zone).
  • Region: Sub-division inside Zone (specific States/Cities).

Q34. Can I assign one Client to multiple Zones?

Not recommended. Each Client should belong to only one Zone for reporting consistency.


Q35. How do I know if a Zone is actively used?

  • Check if Clients or Suppliers are linked.
  • See if the Zone appears in Bookings/Reports filters.

Q36. What are real use cases for Zones?

  • Allocating drivers/vendors by region
  • Assigning pricing/rates per Zone
  • Filtering bookings, expenses, or reports region-wise
  • Managing operations like NCR Zone, South Zone, etc.
