Q1. How do I open the Vehicle Report?

  1. From the left menu, go to Reports → Vehicle Report.
  2. The report screen will load with a date filter at the top and a detailed table below.

Q2. How do I filter the report by month or date?

  1. At the top of the page, click the date picker (e.g., “September 2025”).
  2. Select the required month or date range.
  3. The report refreshes automatically to show only trips and data for the selected period.

Q3. What information does the Vehicle Report show?

The report provides detailed operational and financial data per vehicle, including:

  • Reg No: Vehicle registration number
  • Make Model: Vehicle brand and model
  • Revenue: Total revenue earned
  • Trip Expense: Expenses incurred during trips (e.g., tolls, parking)
  • Vehicle Expense: Repair, service, and maintenance costs
  • Fuel: Fuel expense for the period
  • Driver Salary: Driver wages assigned to the vehicle
  • Total Expense: Sum of all expenses for the vehicle
  • Net Profit: Revenue – Total Expense
  • Total Trips: Number of trips completed
  • Average Passer: Average passengers per trip
  • Total Distance: Total kilometers driven
  • Status: Current status of the vehicle (Active, Dispatched, etc.)

Q4. How do I search for a specific vehicle?

  1. From the left menu, go to Reports → Vehicle Report.
  2. Use the search bar in the top-right corner.
  3. Select registration number, model name, or status and enter details for the chosen field.
  4. The list filters instantly.

Q5. What do the vehicle statuses mean?

  • Active (Green dot): Vehicle is operational and available
  • Dispatched (Orange dot): Vehicle is currently assigned to a trip
  • Inactive/Blocked: Vehicle not available for use

Q6. How do I export the Vehicle Report?

  1. From the left menu, go to Reports → Vehicle Report.
  2. Click the Download (⬇️) icon in the top-right corner.
  3. The file will download with the same data currently visible (including filters applied).

Q7. How do I check vehicle profitability?

  1. Look at the Net Profit column.
    • Positive: Vehicle generated profit
    • Negative: Expenses exceeded revenue
  2. Compare with Revenue and Total Expense to understand cost drivers.

Q8. Can I view details for one vehicle only?

Yes.

  1. Use the search bar to select and enter the vehicle’s Reg No (e.g., WB05A6233).
  2. The table will show only that vehicle’s record.

Q9. How do I view more vehicles on one screen?

  1. Scroll to the bottom of the table.
  2. Change the dropdown (default “40 Rows”) to 10 / 20 / 40 / 100.
  3. Navigate pages with the pagination controls.

Q10. How do I identify vehicles with zero activity?

  • Vehicles with Revenue = 0 and Trips = 0 did not run during the selected period.
  • Useful for spotting idle or underutilized vehicles.

Q11. How do I compare the performance of multiple vehicles?

  1. Apply the same month filter.
  2. Compare Revenue, Total Expense, Net Profit, Trips, and Distance side by side in the table.
  3. Export the data for deeper analysis in Excel if needed.

Q12. How do I update or correct expenses shown in the report?

  1. Go to the relevant Finance module (Bills, Payment Made, Expense, etc.).
  2. Update or add the missing expenses.
  3. Re-open the Vehicle Report → the numbers refresh automatically.
