Q1. How do I add a new vehicle to the system?

Navigate to the Vehicle option in the Masters tab from the main menu → Click “+ Add Vehicle”.

Steps:

  1. Choose Self or Supplier — depending on ownership.
  2. Enter Registration Number and select a Seating Layout. (Mandatory)
  3. Optionally, fill in Make Model, Zone, Mfg Year, Fuel Type, GPS Provider, and Color.
  4. Select Status (Active/Inactive) and Compliance Status if needed.
  5. Click Save to add the vehicle to your fleet.

Q2. What fields are required when adding a new vehicle?

To successfully add a new vehicle, the following fields are mandatory:

  1. Registration No – Unique identifier for the vehicle.
  2. Seating Layout – Must be selected from predefined seat configurations.

These fields are marked with a red asterisk () on the form.*


Q3. Can I assign a vehicle to a supplier while adding it?

Yes, you can assign a vehicle to a supplier while adding it.


Q4. How do I edit vehicle details?

  1. Navigate to the Vehicle List.
  2. On the right side of the vehicle row, click the (✏️) pencil icon under the Action column.
  3. Make necessary changes.
  4. Click on the Save/Update button at the bottom.

Q5. What happens when I click the pencil (edit) icon?

When you click the pencil (✏️) edit icon next to a vehicle entry:

  • A vehicle details form will open in edit mode.
  • The form is pre-filled with current information of the selected vehicle.
  • You can update fields as required.

Q6. What options are available in the “three dots” action menu?

When you click the three dots (⋯) action menu (top-right corner of the Vehicle List page), the following options are available:

  • Bulk Delete – Delete multiple selected vehicle records at once.
  • Bulk Download – Upload multiple vehicles using a predefined Excel/CSV format.
  • Bulk Edit – Edit multiple vehicle records in a single batch operation.
  • Download Documents – Download all associated documents (e.g. RC, insurance) for selected vehicles.
  • Download – Export selected vehicle data in Excel or CSV format.
  • Customise – Add extra input fields based on your preference.

Q7. Can I delete a vehicle from this list?

Yes, you can delete a vehicle from the list.
There are two ways to do it:

Option 1: Delete a single vehicle

  • Locate the row of the vehicle you want to delete.
  • Click the 🗑️ delete icon in the “Action” or 3 Dots column for that row.
  • Confirm the deletion in the popup (if prompted).

Option 2: Bulk Delete multiple vehicles

  • Use the checkboxes to select one or more vehicles from the list.
  • Click the “three dots” menu (⋯) at the top-right.
  • Choose “Bulk Delete”.
  • Confirm the action.

Note: Deleted vehicles may be permanently removed unless there is a soft-delete/archive mechanism in your system. Always double-check before proceeding.


Q8. Is there a bulk edit feature for multiple vehicles at once?

Yes, there is a Bulk Edit feature available. You can edit multiple vehicles at once using the following steps:

How to use Bulk Edit:

  • Select the vehicles you want to edit using the checkboxes in the list.
  • Click the three dots (⋯) in the top-right action menu.
  • Select “Bulk Edit” from the dropdown options.
  • Template selection modal/form will appear, allowing you to select the template for download in excel formats,once downloaded you can make the required changes.
  • Once downloaded, make the required changes.
  • Submit the updated file by using the bulk upload option from the dropdown.

Q9. How do I search for a vehicle by registration number or model?

  1. You can easily search for a vehicle using the search bar at the top-right of the vehicle list screen.
  2. Type the **Registration Number, Make, or Model of the vehicle.
  3. The list will automatically filter to show matching results.

Q10. How do I configure or customize the visible columns?

You can customize which columns are shown in the Vehicle Grid using the "Column Settings" option available at the end of the table.

Steps:

  1. A popup titled "Select Columns" will open.
  • Left Side: Shows currently Visible Fields.
  • Right Side: Shows currently Hidden Fields.
  1. Use the arrow buttons to:
  • ➡️ Move fields from Hidden to Visible..
  • ⬅️ Move fields from Visible to Hidden.
  1. Once you're done, click the "Save" button in the bottom-right.

Q11. What does the gear (⚙️) icon at the bottom right corner do?

It allows users to show or hide specific columns in the vehicle list.


Q12. Can I download this vehicle list to Excel or PDF?

Yes, you can export the vehicle list from the system.

From the three-dots menu (⋯) in the top right corner of the vehicle list table, you’ll find:

  • ⬇️ Download → This usually exports the list in Excel format (.xlsx).

How to Export:

  • Click the three-dots (⋯) menu.
  • Select "Download" for Excel export.
  • Template selection modal/form will appear, allowing you to select the template for download in excel formats,once downloaded you can make the required changes.

Q13. Can I tag vehicles with custom categories (e.g., AC/Non-AC, type of service)?

Yes, you can! The system allows you to tag vehicles using custom labels based on your fleet categorization needs.
you can apply these tags via the tag icon 🏷️ next to the vehicle status, as shown in your screenshot.

How it works:

  • You can search for existing tags (like "Serviced", "maintenance req", etc.).
  • Or, create your own tags by using the input field.(e.g., AC, Non-AC, Outstation, Reserved, Luxury, etc.).
  • Tags are visually color-coded for quick recognition.

Q14. How can I bulk delete the vehicles?

You can bulk delete vehicles using the "Bulk Delete" option from the three-dot (⋯) menu in the vehicle list view.

Steps to Bulk Delete:

  1. Navigate to the vehicle list screen.
  2. Click on the three-dot (⋯) action menu at the top-right corner.
  3. A multi-select checkbox will appear next to each vehicle.
  4. Select the vehicles you want to delete.
  5. Select "Bulk Delete" from the dropdown.
  6. Click on the Delete (🗑️) icon or the confirm bulk delete action.

Q15. How can I download multiple vehicles documents?

To download documents for multiple vehicles at once, use the “Download Documents” option from the three-dot (⋯) menu in the vehicle list screen.

Steps to Bulk Download Documents:

  1. Go to the Vehicle List screen.
  2. Click the three-dot (⋯) menu at the top-right corner.
  3. Select “Download Documents” from the dropdown.
  4. A document archive (.zip) will be generated.
  5. The download will contain all uploaded documents for selected vehicles.

Q16. How can I bulk upload vehicles?

You can upload multiple vehicle records at once using the Bulk Upload option.

Steps to Bulk Upload Vehicles:

  1. Navigate to the Vehicle List screen.
  2. Click on the three-dot (⋯) menu in the top-right corner.
  3. Select “Bulk Upload” from the dropdown.
  4. Download the template file (Excel .xlsx or CSV).
  5. Fill in the vehicle details in the template
    • Registration Number (required)
    • Seating Layout (required)
    • Make & Model, Zone, Year, Fuel Type, GPS, Color, Owner Type, Supplier Name (if any)
  6. Save the file and upload it back via the same Bulk Upload dialog.
  7. The system will validate and import the data.

Q17. How do I assign a driver to a vehicle?

Click on the three dots (⋯) under the “Action” column for the desired vehicle, then select “Assign Driver” from the dropdown menu.


Q18. What does “Bird Eye View” do?

The “Bird Eye View” option shows the live GPS location, current status, and route summary of the selected vehicle on a map.


Q19. How do I select multiple vehicles for bulk actions?

  • Use the checkboxes on the left side of each row to select multiple vehicles.
  • You can then use options like Bulk Delete, Bulk Edit, or Download Documents from the top-right dropdown menu.

Q20. What information is visible in the vehicle list?

The table displays:

  • Supplier
  • Make Model
  • Registration Number
  • Status
  • Manufacturing Year
  • Actions** (Edit, Delete, Assign, etc.)

You can customize visible columns using the ⚙️ gear icon in the footer.


Q21. What does the colored dot under “Status” mean?

The dot indicates the vehicle’s current status:

  • 🟢 Active: The vehicle is available and operational.
  • 🔴 Inactive or other colors: May indicate blocked, under maintenance, or retired status.

Q22. Can I sort or filter vehicles by model, year, or supplier?

Yes, click on the filter option in the top section of the list page (e.g., “Make Model”, “Year”) to sort & filter.
