Q1. What is the purpose of the Transaction module?

  • The Transaction module keeps records of all credits, debits, balances, and opening balances for accounts.
  • It provides a financial ledger view across clients, employees, or suppliers.

Q2. How do I download the list of transactions?

Steps:

  1. From the main menu, click Main Menu.
  2. Go to Reports.
  3. Select Transaction.
  4. In the Transaction table, click the 3-dot menu (⋮) on the top-right.
  5. Select Download.
  6. Choose the format (Excel/PDF, if supported).
  7. The system saves the report to your computer.

Q3. How do I customize which columns are shown in the Transaction table?

Steps:

  1. From the main menu, click Main Menu.
  2. Go to Reports.
  3. Select Transaction.
  4. In the Transaction table, click the Gear icon (⚙️) at the bottom-right.
  5. You’ll see a list of fields (e.g., Account Name, Added From, Reference No.).
  6. Tick or untick checkboxes to hide or show columns.
  7. The table refreshes with your chosen layout.

Q4. What is the meaning of Credit, Debit, and Balance columns?

  • Credit: Amount added to the account.
  • Debit: Amount removed from the account.
  • Balance: Running total after applying credits and debits.

Q5. What does "Added From" column mean?

Shows the source of the transaction, e.g., Payment Made, Opening Balance, or linked module.


Q6. Can I view transactions for a single account only?

Steps:

  1. From the main menu, click Main Menu.
  2. Go to Reports.
  3. Select Transaction.
  4. Use the Search bar → Enter the Account Name.
  5. The table filters to show only that account’s transactions.

Q7. Can I sort the transactions by amount or date?

Steps:

  1. In the Transaction table header, click the column title (e.g., Transaction Date, Credit, Debit).
  2. The table sorts the data in ascending or descending order.

Q8. Who can access the Transaction module?

  • Only users with roles/permissions to view Finance Reports or Transactions can access it.
  • Admin can configure access in Users → Admins/Roles.

Q9. What happens if I delete an opening balance?

  • Deleting an opening balance affects the running balance calculation.
  • It should only be deleted by Finance/Admin roles and with caution.
