Booking

Introduction

In Zoyride, a Booking means a trip or transport request created for a passenger, retail customer, client, or company employee. A booking contains all important trip details such as trip type, passenger information, pickup and drop locations, travel time, vehicle, driver, rates, charges, supplier cost, documents, and dispatch details.

The Booking module is used to create, manage, update, and track different types of trips, including Local, Rental, Transfer, Outstation, Shuttle, Adhoc, Home Commute, Daily Commute, Lease, and other transport services. It helps administrators manage the complete booking flow from trip creation to vehicle assignment, fare selection, dispatch updates, document upload, and final duty closure.

This module acts as the main operational area where admins can handle passenger trips, assign vehicles and drivers, apply client or retail rates, add supplier charges, upload booking documents, and close completed duties after verifying odometer, distance, duration, and trip summary details.

Booking List

Step 1: Open Booking Module

Go to Menu > Booking.

The booking list will open.

The list shows:

  • Trip No.
  • Ref. No.
  • Package Name
  • Invoice No.
  • Invoice Date
  • Trip Type
  • Tags
  • DutySlip #
  • Client
  • Client Company
  • Action

Step 2: Filter Bookings

Use the filters at the top to search bookings.

Available filters:

  • Status
  • Trip Date
  • General Filter
  • Created At sorting

Click the search icon to apply the filter.

Step 3: Open Booking Actions

In the Action column, admin can:

  • Click the three-dot icon for more actions
  • Click the edit or pencil icon to open or update the booking

Add New Booking

Step 1: Click Add Button

  1. Click the + button from the top-right side.
  2. The Add Booking form will open.

Step 2: Select Trip Type

Select the required booking type from the dropdown.

Available options include:

  • Local
  • Rental
  • Shared
  • Transfer
  • Self Drive
  • Outstation
  • Shuttle
  • Adhoc
  • Home Commute
  • Daily Commute
  • Lease

Step 3: Select Retail or Client Booking

If the booking is for a retail customer, enable:

  • For Retail

If the booking is for a client or company, keep it unchecked and select:

  • Serving Company
  • Client
  • Client Company

Optional fields:

  • Duty Slip No.
  • Reference No.

Add Passenger Details

Step 4: Select Booker

In the Passengers section, select the booker or passenger.

Fill passenger details such as:

  • Booker
  • Total Pax
  • Pickup Time
  • Pickup Country
  • Pickup City
  • Pickup Address
  • Drop Time
  • Drop Country
  • Drop City
  • Drop Address

Use the + icon if more passengers or stops need to be added.

Dispatch Details

Step 5: Add Dispatch Information

In the Dispatch section, trip start and trip end details are shown.

Admin can enter:

  • Start Odometer
  • End Odometer

If garage movement is required, click + Garage.

Assign Vehicle and Driver

Step 6: Select Vehicle Assignment Type

In the Assign Vehicle section, choose the assignment type:

  • Own
  • Adhoc
  • Supplier

Step 7: Assign Vehicle

Select the required vehicle from the Assign Vehicle dropdown.

Step 8: Assign Driver

Select the driver from the Driver or Select Employee dropdown.

Optional:

  • Enable Trip Start OTP Required if OTP is required before trip start
  • Add Flight No. if applicable
  • Add Attendant if required

Add Client Charges

Step 9: Select Rate Type

In the Client Charges section, choose:

  • Standard Rate
  • Custom Rate

For standard pricing, click the rate selection or search option.

Step 10: Select Rate Vehicle

The Rate Vehicle popup will open.

Search or filter by:

  • Rate name or type
  • Rate Type
  • Requested Vehicle

Select the required rate or vehicle from the list.

The rate includes fare details such as:

  • Base Fare
  • Distance Fare
  • Time Fare
  • Driver Allowance
  • Night Charge
  • Garage Fare
  • Parking Fare

Step 11: Add Extra Charges or Discount

If required, add:

  • Charge Type
  • Unit Cost
  • No. of Units
  • Discount
  • Tax

The system will calculate:

  • Sub Total
  • Total Deduction
  • Taxable Amount
  • Total Taxes
  • Total

Add Supplier Charges

Step 12: Add Supplier Charges

If supplier cost is applicable, use the Supplier Charges section.

Click the + button and add supplier charge details.

Step 13: Add Booking Documents

After selecting the rate, scroll down to the Documents section.

  1. Click on the document type dropdown and select the required document type.
  2. Available document types:
  • Invoice
  • End Odometer
  • Start Odometer
  • ID Proof
  • Email
  • Duty Slip
  1. Upload the file by using drag and drop or by choosing the file from your system.
  2. Click the + button if you want to add more documents.

Save Booking

Step 13: Review Details

Before saving, verify:

  • Trip type
  • Retail or client details
  • Passenger details
  • Pickup and drop location
  • Vehicle and driver
  • Rate or charges
  • Supplier charges, if applicable

Step 14: Click Save

Click Save to create the booking.

After saving, the booking will appear in the Booking list.

Edit Booking

Step 1: Open Booking List

Go to the Booking module.

Step 2: Click Edit Icon

Find the required trip and click the edit or pencil icon.

Step 3: Update Booking Details

Update required details such as:

  • Passenger details
  • Pickup or drop time
  • Pickup or drop address
  • Vehicle
  • Driver
  • Rate
  • Charges
  • Supplier charges

Step 4: Save Changes

Click Save to update the booking.

Important Notes

  • Select the correct trip type before filling booking details.
  • Enable For Retail only for retail bookings.
  • For client bookings, select client and client company properly.
  • Vehicle and driver should be assigned before dispatch.
  • Use Standard Rate when the rate is already configured.
  • Use Custom Rate only when manual pricing is required.
  • Always verify charges before saving the booking.

Duty Close Process for Completed Booking

Purpose

Duty Close is used to verify and close a completed trip after checking dispatch details such as start odometer, end odometer, distance, duration, passenger details, and trip summary.

Step 1: Open Booking List

Go to Menu > Booking.

The booking list page will open.

Step 2: Filter Completed Booking

Use the filter section to find the completed booking.

You can filter by:

  • Status: Completed
  • Trip Date
  • Trip No.
  • Client
  • Other available filters

Click the search icon to apply the filter.

Step 3: Open Booking

Find the required trip from the list and click the edit or pencil icon from the Action column.

The Edit Booking screen will open.

Step 4: Check Dispatch Details

Go to the Dispatch section and verify or update the trip details.

Check or enter:

  • Garage
  • Start Odometer
  • End Odometer
  • Trip Start
  • Trip End
  • Distance
  • Garage Checkout
  • Garage Checkin, if applicable

Make sure the odometer and distance details are correct before closing the duty.

Step 5: Click Duty Close

After verifying dispatch details, click the Duty Close button at the bottom of the screen.

A Duty Close popup will appear.

Step 6: Review Duty Close Summary

In the popup, review the trip summary details such as:

  • Serving Company
  • Client Name
  • Client Company
  • Pickup Location
  • Drop Location
  • Start Time
  • End Time
  • Passenger Details
  • Duration
  • Start KM
  • End KM
  • Distance
  • Garage Pickup Distance
  • Garage Drop Distance

Step 7: Continue Editing or Confirm

After reviewing the details, choose one option:

  • Click Continue Editing if any trip detail needs correction
  • Click Confirm if all details are correct and the duty can be closed

Step 8: Duty Closed Successfully

Once confirmed, the duty will be closed for the completed booking.

Important Notes for Duty Close

  • Duty Close should be done only after the booking is completed.
  • Always verify start odometer and end odometer before confirming.
  • If any detail is incorrect, use Continue Editing and update the booking first.
  • Confirm duty close only after checking passenger, pickup or drop, duration, and distance details.
