Rostering
Introduction
The Rostering Module is the central planning engine used to create, optimize, and manage employee transportation routes. It helps transport administrators organize passengers into trips, create route plans, assign vehicles and drivers, optimize pickups and drops, and manage daily transportation operations.
The module supports shuttle services, regular employee transport, ad-hoc bookings, and route optimization using passenger locations and operational constraints.
Accessing the Rostering Module
Navigation
- Login to the Admin Console.
- Open the Main Menu.
- Navigate to
Operations. - Click
Rostering.
The Rostering Dashboard will open.
Purpose of the Rostering Module
The Rostering Module helps administrators:
- Create transportation plans
- Organize passengers into trips
- Generate optimized routes
- Assign vehicles and drivers
- Manage shuttle services
- Manage ad-hoc transportation
- Monitor trip status
- Optimize fleet utilization
Rostering Dashboard Overview
The Rostering screen consists of four primary sections:
- Space Selector: Displays available transportation spaces.
- Trip Status Tabs: Displays Draft, Confirmed, and Ready trips.
- Passenger Queue: Displays unplanned passengers awaiting assignment.
- Route Map: Displays optimized routes and passenger locations.
Understanding Transportation Spaces
A Space is a transportation planning container that groups trips based on a common schedule and purpose.

- Evening AM Logic
- JMD Pickup
- AM Logic Shift 1
Selecting a Space
- Click the Space dropdown.
- Select the desired space.
- The roster refreshes automatically.
The system displays all trips associated with the selected space.
Creating a New Space
- Click
+ Create Space. - Select the transportation type.
- Enter required details.
- Click
Create Space.
Available Space Types
- Shuttle to Work: Used for fixed shuttle services transporting employees to the workplace.
- Shuttle to Home: Used for fixed shuttle services transporting employees home.
- Adhoc Home to Work: Used for temporary employee pickup requests.
- Adhoc Work to Home: Used for temporary employee drop requests.
- Regular Home to Work: Used for daily employee pickups.
- Regular Work to Home: Used for daily employee drops.
Space Configuration
When creating a space, administrators must configure:
- Office: Select the office location.
- Shift: Select the associated work shift.
- Space Name: Enter a unique space name.
- Date: Select the roster date.
- Pickup Time or Drop Time: Based on transportation type.
- Notes: Optional operational comments.
Understanding Roster Information
The top section displays:
- Office: Associated office location.
- Roster Type: Type of transportation plan.
- Pickup Time: Scheduled pickup or drop time.
Trip Status Tabs
Trips are organized into different workflow stages.
- All: Displays all trips.
- Draft: Trips that are planned but not finalized.
- Confirmed: Trips that have been approved.
- Ready: Trips that are ready for dispatch.
Passenger Queue
The Awaiting section displays passengers who are not yet assigned to a trip.

Creating Route Plans
The system can automatically generate route plans.
Steps
- Click
Make Plan. - Configure planning parameters.
- Click
Create.
The system generates optimized trips automatically.
Route Planning Options
- Maximum Passengers Per Vehicle: Defines seating capacity during route generation. Example: 3 Passengers Per Vehicle
- Number of Vehicles: Defines the number of vehicles available. Example: 8 Vehicles

- Passenger Pickup Locations: Displays employee pickup addresses.
- Destination Points: Displays office or drop locations.
- Route Paths: Displays optimized trip routes.
Creating a Trip
Steps
- Open a Draft Route.
- Review passenger assignments.
- Click
Create Trip.
The trip will be generated.
Updating a Trip
Steps
- Open the trip.
- Review route details.
- Click
Update Trip. - Save changes.

Assigning a Vehicle
- Open Trip Actions.

The vehicle becomes linked to the trip.
Assigning a Driver
- Open Trip Actions.

The driver becomes assigned.
